    Description
    Columbia Threadneedle Investments Luxembourg is looking for an administrative assistant to support our Office manager in maintaining operational efficiency, support our senior leadership, and ensure continuity in administrative and executive functions.

    How you'll spend your time

    Working a minimum of 4 days a week in the Luxembourg office, with the possibility of 1 day per work working from home (subject to relevant tax/cross border working restrictions), you will be working closely with the Office Manager, to provide essential support in the following areas:

    - Help maintain the office environment and reception duties.

    - Sorting and distributing post and organising couriers.

    - Processing invoices and expense reports.

    - Document scanning, copying, and filing.

    - Ordering office and kitchen supplies and maintaining equipment.

    - Diary management and meeting room preparation.

    - Organising business travel and team events.

    - Supporting quarterly Board of Directors meetings.

    - Acting as an additional contact point for suppliers and service providers.

    To be successful in this role you will have

    • Ability to manage multiple tasks efficiently and prioritize effectively.
    • Strong attention to detail in scheduling, filing, and document handling
    • Ability to interact confidently with internal stakeholders and external vendors
    • Professional verbal and written communication in English (+French or German is a plus)
    • Works well in a team environment, supporting colleagues and leadership.
    • Proactive in identifying ways to assist and improve office operations.
    • Comfortable using Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).

    It would be great if you also had

    French or German

    Experience with expense reporting systems and travel booking platforms.
