Join A Dynamic AIFM Team as Senior Manager - Fund Operations


We are thrilled to present an exciting opportunity as an
AIFM Senior Manager to lead the Fund Administration function with a leading Private Equity (PE) investor, poised for expansion right here in Luxembourg.

This is more than just a job; it's a gateway to join a global
Fund Operations Team, spanning Luxembourg and various other jurisdictions.

As part of this dynamic team, you'll oversee the
company secretarial matters,
act as Client Relationship Manager as well as being responsible for the oversight over the day-to-day administration of fund structures and SPVs.


You will be responsible for a growing cross-jurisdictional team of
Fund Administration and CoSec specialists and will report to the Managing Director | Head of Luxembourg and Senior Leadership of Fund Operations.


Key responsibilities:


  • Lead and manage the Administration team of FundOps and be able to transform the current Administration function into a scalable, efficient, and technologydriven department
  • Own the relationship and oversee the external fund administration providers with all aspects of company secretarial and administration matters as well as and ensuring SLAs and fee models and KPIs are kept uptodate
  • Oversee the investor onboarding / offboarding processes with the external fund administrators, lawyers, and other stakeholders
  • Oversee the implementation and administration of holding companies and Fund structures
  • Support the Controlling Team by coordinating routine fund operations, including investor calls and distributions
  • Oversee the invoice processing, recharging, and approval workflows as well as the dealing with suppliers' queries and ensure the respective payments are executed on time
  • Oversee the accurate processing of instructions and within agreed deadlines with sufficient supporting documentation held on file (interaccount transfers, drawdowns, dividend payments etc.)
  • Oversee the accurate maintenance of investor and company records, files, and statutory documents such as the Trade Register, and Shareholder Registers and ensure regulatory and statutory filings are completed on time
  • Review simple legal documents and ensure proper execution and oversee the arrangements for legalisations, notarisations, and apostilles
  • Oversee, together with the investor relations team, all investor queries and LP communications
  • Supporting wide projects and proactively identifying improvement opportunities, quality, and efficiency gains within the Administration function

Key requirements:


  • Hold a university degree preferably in law, finance, or business administration; or hold a relevant fund/corporate administration qualification (preferably ICSA certificate level or equivalent)
  • 6+ years of prior experience in a similar position
  • Organisational skills, ability to multitask, and attention to detail
  • Strong experience and knowledge of illiquid alternative asset classes
  • Entrepreneurial spirit with a proven ability for change management
  • Strong analytical and problemsolving skills
  • Processdriven mindset and structured thinking in order to deal with complexity and volume of activities
  • Experience in another AIFM or Fund Administrator background an advantage
  • Fluent in English
